With most of the work done ahead of time, you’ll be spending time
with your guests on the day of your party and making sure everything runs
smoothly. Your co-hosts (if you have any) and friends can help make this
happen. But no matter what, have a great time! There is no better way
to get your guests to enjoy themselves than for you to have a great time
at your own party. Meanwhile, these are some of the tasks and reminders
for the day of the party.
Materials: You’ll need to set up
a table that can be used for literature, sign in sheets, & petitions.
You’ll also need to put up an outside directional sign, if one
is needed.
Refreshments: Be sure that all the refreshments are
ready ahead of time.
Welcoming Guests: You’ll want to greet your
guests as they arrive and thank them for coming. If name tags are appropriate,
have them available and ask your guests to wear them. Also ask that
they sign-in and sign
the OneCareNow petition.
OneCare Now DVD: Be sure to play the OneCareNow DVD
and allow 30 minutes for questions afterwards.
Speakers: Be prepared to introduce your speakers and
make sure they know what their particular role is (i.e., answer questions
following the showing of the DVD, making the appeal for funds, or both).
Again, all of this is explained in the Fund
Raising Appeal.
Contributions: We recommend that you assign a trustworthy
friend who’ll be responsible just for handling contributions.
This involves:
- Collecting contributions and keeping them in a secure place during
the event.
- Completing a receipt (Contribution
Receipt) each contribution made, whether by cash, check, or credit
card.
- Providing each donor who makes a cash contribution with a copy
of the Contribution Receipt.
- Entering credit card contributions to the OneCareNow
Campaign online (provided a computer is available at your party).
- Making sure guests know their contributions are payable to the
OneCareNow Campaign (a 501(c)(4) grassroots activity) are not
tax-deductible.
- Informing anyone who needs to make a tax-deductible contribution,
that they can write a check for educational activities, payable to
Health Care for All—CA Ed Fund (HCA-CA Ed Fund). You can also
enter any tax-deductible
contributions made by credit card to the HCA-CA Ed Fund.
Recognitions & Thank Yous: At appropriate points
during your party or at the very end, be sure to publicly acknowledge
and thank any co-hosts, speakers and donors who helped support the house
party (e.g., for food & beverages, auction & raffle items, etc.),
and your guests. As your guests leave, be sure to thank them for coming.
